System Options Window
The System Options window allows you to manage system-wide options for your institution.
System Options - Field Definitions
Clinical Tab:
Surface Settings Section
This section is used to assign letters to represent each tooth surface.
Anterior

These five fields indicate the surface settings used for anterior tooth surfaces.

These five fields indicate the surface settings used for bicuspid tooth surfaces.

Molar

These five fields indicate the surface settings used for molar tooth surfaces. |
Diagnosis Section
Use Clinical Diagnosis Codes
|
A drop-down list that indicates how diagnosis codes are used by your institution:

No: The provider can enter a diagnosis code as free text.
-
Yes: Your institution has predefined diagnosis codes from which the provider can select.
-
Mandatory: Your institution has predefined diagnosis codes from which the provider must select.
Note: This setting can be overridden by the Procedure Code window > Options section > Clinical Diagnosis is not required check box. For more information, see Procedure Codes.

Medical Diagnosis Code Type
|
A drop-down list that indicates the diagnosis code type to use:

Clinical Template Notes Section
Tag Start Character
|
A text field that indicates the character used to identify the beginning of a tag when using template notes.
|
Tag Content Character
|
A text field that indicates the character used to identify the where the content of a tag is to be entered for template notes.
|
Tag End Character
|
A text field that indicates the character used to identify the end of a tag when using template notes. |
Labs Section
eLab User
|
A text field that indicates the axiUm user for auditing purposes.
The ellipsis is used to display the Users List window and select a user.
|
eLab Integration without Personal Health Info
|
A check box that, when selected, indicates that axiUm will not pass PHI information to DDX, and users must manually enter the patient’s name and chart number in DDX when necessary.
If deselected, these fields populate automatically.

Load all lab material codes when searching
|
A check box that, when selected, indicates axiUm will load all codes when searching materials. If deselected, users must specify criteria and search manually for the required
code. |
Transactions and Approvals Tab:
Transactions Section
Bill pt portion step amts for
pts with Insurance
|
A check box that, if selected, indicates axiUm bills the patient portion of the step procedure when the step is completed. This charge will appear on the parent procedure.
If deselected or there is no insurance, the parent procedure is charged out at the full amount of the step as each step is completed.

Bill pt portion of In Process procedure amounts
|
A check box that, if selected, indicates axiUm bills the procedures in process amount to the patient when they are marked as in-process instead of waiting for the procedure to be completed.

Enter Individual Charges
when 'I'
|
A drop-down list that indicates the rules that apply when entering / updating in process
treatments.

No: Individual charge is not entered at the in progress point.

First --> 'I': Individual charge is entered the first time the procedure
becomes in progress. Any subsequent I --> I does not prompt for an
individual charge.

Always: Individual charge is entered every time the procedure is in progress.

A check box that, if selected, indicates that fees are not to be re-calculated when
a procedure is changed. |
Apply policy limits when

University project procedures require Pre-Authorization entry to qualify
|
A check box that, if selected, indicates that axiUm requires pre-authorization for procedures that are included on University Project claims. |
Approvals Section
Display financial warnings during approvals
|
A check box that, if selected, indicates that any applicable financial warnings will display during the approval process.
If deselected, all financial warnings will be suppressed.

Patients and Users Tab:
Patients Section
Underage patients cannot be primary guarantors
|
A check box that, when selected, indicates that underage patients must have a guarantor other than themselves.
|
Minimum Age
|
Note: This field is only enabled if the Underage patients cannot be primary guarantors check box is selected.
A text field that indicates the minimum age that a patient can be their own primary guarantor.
|
Require Consent (for Release of information)
|
A check box that, when selected, indicates that your institution requires a consent on file for the patient to allow information to be released.
When selected, axiUm prompts the user
each time a patient record is accessed that doesn't have .

Patient unapproved work indicator
|
A check box that, when selected, indicates that the patient chart number on the status bar will turn aqua when the selected patient has unapproved work on their account.

ID Masking Format Section
Masking Character
|
A text field that indicates which character axiUm user to mask ID values.
|
Clear text, Show last __ (characters)
|
A text field that indicates the number of digits that will be visible at the end of an ID.
|
Messenger Section
Send E-Mail notifications for messages to patient
|
A check box that, when selected, indicates axiUm will send emails to patients informing them of a message in PatientAccess. |
Email Template
|
A text field that indicates the email template used for patient emails.
The ellipsis is used to display the Email Templates window and select a template.
|
Encrypt non-patient Messages
|
A check box that, when selected, indicates axiUm encrypts messages between axiUm users. |
Users Section
Display user logon when listing users
|
A check box that, when selected, indicates that user lists in axiUm also display a
column for the user logon ID. |
Use restricted password validating
|
A check box that, when selected, indicates that passwords must be validated against some institution-defined criterion.
|
Function
|
A text field that indicates the function PASSWORDVALIDATION that will automatically fill
in here when the Use restricted password validation check box is selected. A
function with this name must be created and added to the Oracle database in order
for the validation to occur.
Important: The configuration of the PASSWORDVALIDATION function cannot be completed
in axiUm. Additional setup and development of Oracle
functions is required.

Invalid text warning
|
A text box that indicates the text that displays when a password does not meet the
defined criteria.
Tip: Text entered here is also accessible in the Custom Text window.

Forms Section
Reference codes must be unique across all forms
|
A check box that, when selected, indicates that a warning will display when users enter a reference code on a form item that is already in use in other EPR
forms.
Note: You can click the Yes button to ignore this warning and to continue
using the reference code.

Scheduler Tab:
Scheduling Section
Check clinical limits when appts added
|
A check box that, when selected, indicates that clinical limits should be checked when appointments are scheduled.
|
Use Preventive Care
|
A check box that, when selected, enables the use of the Preventive Care feature.
Note: If deselected, the Scheduling Rules section > Limited Provider Exams (for Preventative Care) and Alternative Providers (for Preventative Care) check boxes are cleared and disabled.
If selected, the following displays in axiUm:

The Patient Card window displays preventive care type appointment dates.
-
The Patient Card window displays (Preventive Care) in the toolbar.
-
The EHR window displays the Prev Care tab.
Note: This check box is used in conjunction with the Preventive Care Codes window.

Use Shared Chairs (for New Patient Exam)
|
A check box that, when selected, indicates that your institution allows provider chair-sharing during new patient exams.
Note: This option is generally used for HMOs and not academic institutions.

Maximum Patient Age for CDA to Perform Hygiene Work __
|
A text field that indicates the maximum age of patients that use a dental assistant for
hygiene treatments. |
Enforce Booking Order
|
|
Scheduling Rules Section
This section allows you to specify system settings related to scheduling rules.
Enforced Preferred Discipline
|
A check box that, when selected, enforces the provider’s preferred discipline.
Note: This check box works in conjunction with the Provider Ideal Day Settings window > Preferences section > Enforce Preference check box. For more information, see Provider Schedules.

Restricted 'Not to Do' Disciplines
|
A check box that, when selected, enforces the provider’s preferred not-to-do disciplines.
Note: This check box works in conjunction with the Provider Ideal Day Settings window > Preferences section > Do not do section fields. For more information, see Provider Schedules.

Restricted Preferred Appointment Codes
|
A check box that, when selected, enforces the provider’s preferred appointment codes.
Note: This check box works in conjunction with the Detailed Ideal Day Settings window. For more information, see the Provider Schedules window.

Limited Appointment Codes
|
A check box that, when selected, allows the use of limited appointment codes.
Note: Limited appointment codes can be defined for each provider in the Limited Appointment Codes window.

Limited Provider Exams (for Preventive Care)
|
A check box that, when selected, limits provider exams for preventive care
cycles.
Note: The check box works in conjunction with the following:

The Use Preventive Care
check box must be selected.

The Users window > Provider tab > Scheduler section > the Limit Exams
check box must be selected and a limit entered in the field. For more information, see the Users List window.

Alternative Providers (for Preventive Care)
|
A check box that, when selected, indicates to find alternative providers for preventive care
cycles.
Note: The check box works in conjunction with the following:

The Use Preventive Care
check box must be selected.

The Patients module > Provider Assignments window > the Schedule Preventive Exam with field must be set to Any Doctor and the Schedule Hygiene with field must be set to an option that allows preventive care appointments to be scheduled with providers other than those assigned to the patient.

Hold Times
|
A check box that, when selected, indicates that your institution uses hold times.
Note: This check box works in conjunction with the Hold Time Reasons window.
|
Break Times
|
A check box that, when selected, indicates that your institution uses break times.
Note: This check box works in conjunction with the Break Times window.
|
Maximum Contiguous Free Time (One Chair)
|
A check box that, when selected, indicates to consider the maximum assistant idle time
allowed for single-chair day scheduling.
Note: This check box works in conjunction with the Scheduling Rules window > Scheduling section > Max Contiguous Provider Free Time field (in the One Chair Day column).

Minimum Appointment Gap Time (One Chair)
|
A check box that, when selected, indicates to consider the time gap allowed between
appointments, for one-chair day scheduling.
Note: This check box works in conjunction with the Scheduling Rules window > Scheduling section > Min Appointment Gap Time field.

Maximum Contiguous Free Time (Multi-Chair)
|
A check box that, when selected, indicates to consider the maximum assistant idle time
allowed for multi-chair day scheduling.
Note: This check box works in conjunction with the Scheduling Rules window > Scheduling section > Max Contiguous Provider Free Time field (in the Multi-Chair Day column). |
Maximum Provider Time (Multi-Chair)
|
A check box that, when selected, indicates to consider the maximum appointment length.
Important: This applies only to multi-chair day scheduling.
Note: This check box works in conjunction with the Scheduling Rules window > Scheduling section > Max Provider Time field. |

Regional Section
Country
|
A radio button field that indicates the country of practice:
|
Date Format
|
A drop-down list that indicates the date format used throughout axiUm:
Note: The date format in the Registration section > License Expiry Date field updates when this field is modified and saved.
|
Time Format
|
A drop-down list that indicates the time format used throughout axiUm:
|
Registration Section
Number of Stations
|
A disabled field that indicates the total number of stations allowable as per your axiUm contract.
|
License Expiry Date
|
A disabled field that indicates the license expiry date as per your axiUm contract.
|
DB Image
|
A text field that indicates an image file for the database. If configured, it displays at the top of the (expanded) Nav Panel.
The ellipsis is used to navigate to and select your db image file.
|
Auditing and Logging Section
Overnight User
|
A text field that indicates the overnight user for audit purposes.
Note: This should be the person who is responsible for running the overnight process.
The ellipsis is used to display the Users List window and select a user.
|
Enable Audit Logging
|
A drop-down list that indicates how user logging is audited by your institution:
-
No: axiUm does not log any access to patient
records.
-
Basic: axiUm logs all access to patient
records and allows for a basic audit by running the Basic Audit Log report
in Info Manager.
Example: Views of the Patients module > patient information section when users select a patient from the patient list or the patient selection list are logged.
Note: If
the patient’s electronic chart is locked, axiUm still displays information in
the patient information section and logs the patient
record access.

Advanced: axiUm logs all activities on
information related to patient health (e.g., adding, editing,
deleting, printing, viewing, and copying) and allows for a more thorough
audit by running the Advanced Audit Log report in Info Manager.
axiUm also audits changes made to the selection of the above options.

Report Access Logging
|
A check box that, when selected, indicates that a log file is kept of all access to Info Manager reports.
axiUm audits access to Info Manager reports in the Report Access Log report.
|
Authorization Logging
|
A check box that, when selected, indicates that axiUm audits authorization activity (approvals in various areas of axiUm).
axiUm audits authorization activity in the Authorization Log report.
|
Stations Section
Support thin clients (RDP, Citrix, etc.)
|
A check box that, when selected, indicates that Citrix is in use at your institution.
|
Registry
|
A check box that, when selected, indicates that the station is a Microsoft Windows Registry entry.
The text field indicates the Microsoft Windows Registry Key Name.
Note: You can enter a maximum of 63 characters in the text field.
Example: HKCU\Volatile\Environment\ViewClient_Machine_Name

Environment Variable
|
A check box that, when selected, indicates the station table displays an environment variable
for each workstation that logs in and enables the text field.
The text field indicates the environment variable to capture.

New Station Registration Key
|
A text field that indicates the registration key given to your institution to allow axiUm to run on
this workstation. |
Miscellaneous Section
Use Advanced Encryption
|
A check box that, when selected, indicates that you would like to convert all
passwords to the encryption method AES-256 with (CBC) hashed with SHA-
256.
Once saved, this converts all entries in the Users window >
Personal tab > Account section > Password fields and the Swipe PIN
field to display a full field of bullets, regardless of the true length of these
values.
Note: Once the conversion has taken place, the check box is disabled and the
conversion process cannot be reversed.
Important: Advanced encryption is not compatible with the old MiPACs API (MiPACS 3.2.1 and lower). If enabled, your institution can only use the new MiPACS API.

Use new MiPACs API
|
A check box that, when selected, indicates axiUm uses the new API (MiPACS 3.2.2+) for MiPACs integration.
If deselected, axiUm uses the old API (MiPACS 3.2.1 and lower).

MiPACS Password...
|
Click the button to display the MiPACS Administrator (for integration) window and enter the password for your institution. |
Connect Sessions
|
A drop-down list that indicates how client stations communicate with axiUm Connect:

On Demand (stateless)

Auto Update Folder
|
A text field that indicates the location of your auto update folder.
The ellipsis is used to navigate to and select your auto update folder.
|
Restrict login to admins only
|
A check box that, when selected, indicates that only administrators can log in to axiUm.
